The Work You Will Do:
This is position is responsible for coordinating technology related projects for the Department of Business and Professional Regulation. The incumbent will be responsible for identifying business and process needs and solutions, developing project definition, milestones, project schedules, identifying project status and/or preparing executive status reporting.
Your Specific Responsibilities:
- This is position is responsible for coordinating technology related projects for the Department of Business and Professional Regulation. The incumbent will be responsible for identifying business and process needs and solutions, developing project definition, milestones, project schedules, identifying project status and/or preparing executive status reporting.
- This includes process flows, issue tracking, prioritization, resolution, risk management, contract management, budgeting, technology staffing and scheduling, business user communications, vendor communications, and vendor and subcontractor management.
- Defines and maintains the standards of process, generally related to project management, within the organization; and identifies business and process needs and solutions.
- The PMO strives to standardize and introduce economies of repetition in the execution of projects. The PMO is the source of documentation, guidance and metrics on the practice of project management and execution.
- Responsible for prioritizing, managing, and controlling projects, programs, and other related work, to achieve specific strategic business objectives.
- Bases project management principles on accepted, industry standard methodologies such as the Project Management Body of Knowledge (PMBOK).
- Manages projects and conducts initial consultations to define the scope of work for projects. Provides stakeholders with written project descriptions and estimated time frames.
- Prepares and maintains project plans and schedules for designated projects including application systems development, system enhancements and maintenance efforts.
- Holds project status meetings and prepares status reports.
- Coordinates all aspects of work for the successful completion of projects.
- Performs project risk assessments and implements risk mitigation strategies.
- Coordinates quality assurance activities.
- Obtains stakeholder/owner signoff on completion of acceptance testing.
- Obtains signoff on production acceptance testing and facilitates turnover to production.
- Conducts post-implementation reviews and documents lessons learned.
- Works with staff to ensure technology projects have been clearly communicated to promote organizational acceptance of technology projects.
- Provides Organizational Assessments and Recommendations.
- Works with Technology and Division managers to identify processes for improvement.
- Assists in defining improvements and documents recommended improvements.
- Works with other project and area managers to define an implementation project where appropriate.
- Works with staff to ensure technology projects have been clearly communicated and manages expectations.
- Assists divisions and technology in prioritizing projects and managing scope of existing projects.
- Facilitates training related to projects as needed.
- Reviews legislative bills and assists in completing bill analysis that have a technology impact, which includes providing cost estimates and work effort.
- Maintains a log of all bills reviewed.
- Performs other work-related duties as required.
Knowledge, Skills, and Abilities:
- Knowledge of Microsoft Office Suite, including Project.
- Knowledge of project management practices and the Project Management Body of Knowledge (PMBOK).
- Experience with process analysis or business analysis.
- Experience managing large scale information technology projects.
- Experience managing vendors and project teams.
- Experience with legislative bill analysis.
- Ability to communicate technical issues, risks and approaches to non-technical managers.
- Excellent written and oral communication skills.

Minimum Requirements:
- Four years of experience working in a technology or business administration professional environment; and
- One year of experience in managing technology projects.
Additional Requirements:
- Certification of Project Management Professional is required within one (1) year of date of hire.
- Successful applicant must pass a Level 2 background screening, including fingerprinting, as a condition of employment. All positions within the Division of Technology are considered to be positions of special trust in accordance with Sections 110.1127 and 425.04, Florida Statutes. The recommended applicant will be required to submit to a background and fingerprint check.
Preferred Requirements:
- Bachelor’s degree in technology or business administration from an accredited college or university or equivalent work experience in a professional environment on a year-for-year basis.
